How It Works

Lead Distribution, Explained

Every lead that comes through RoofOps follows the same path: verified, matched, delivered to the right contractor. Here's exactly how it works.

The Lead Flow

1

Homeowner Submits a Request

Homeowners hit the form on RoofOps with their address, service type (replacement, repair, storm damage, commercial), and contact info. Takes under 2 minutes.

We verify before routing

  • Email and phone are validated in real-time
  • Property address is parsed and geocoded
  • Service type is classified (replacement, repair, emergency)
  • Lead is scored 1–100 based on intent signals
2

We Match to the Right Territory

Every ZIP code in our network maps to a contractor. The system looks at the homeowner's ZIP prefix and immediately identifies which contractor owns that territory.

Territory matching rules

  • ZIP prefix → contractor territories table lookup
  • If multiple contractors cover overlapping prefixes, round-robin distributes evenly
  • Only one contractor receives a given lead — no sharing, no duplication
  • Territory is locked to the contractor's active subscription
3

Lead Arrives in Your Dashboard

Your dashboard lights up with the new lead. You see full contact info (name, phone, email, address), service type, lead score, and lead source. If you're on Pro or Enterprise, you get a push notification the moment it lands.

What you get with every lead

  • Full name, cell phone, email address
  • Property address + city + state + ZIP
  • Service type (replacement, repair, storm, emergency)
  • Lead score (1–100) — how confident we are in this lead
  • Lead source — organic, paid, referral, insurance
  • Notes from the homeowner (if any)
4

You Accept or Decline

You have a window to review and decide. Accept the lead and it's locked to your account — you own it. Decline and it goes back to the pool for re-routing to another contractor in your tier.

Accept vs. Decline

  • Accept: lead is yours, you contact the homeowner within 2 hours
  • Decline: no penalty, no cost — it routes to the next available contractor
  • Unresponsive for 30 minutes: auto-declined, routes forward
  • Acceptance rate is tracked — high rates unlock priority access
5

Follow-Up Is Automated

The moment you accept a lead, our automated follow-up sequence kicks in — email and SMS touchpoints keep the lead warm while you follow up by phone. We track opens and clicks so you know your messages are landing.

Follow-up sequence (5 steps)

  • Step 0: Instant confirmation email — "Your inspection is scheduled"
  • Step 1: Day 1 reminder — "We tried reaching you, here's our number"
  • Step 2: Day 2 — "Still available to help with your roof"
  • Step 3: Day 5 (or day 3 if engaged) — urgency touchpoint
  • Step 4: Day 7 — final follow-up before closing
6

Track Jobs & Claims End-to-End

Once you close the job, log it in your dashboard. Track the job status (in progress → completed → paid), link it to the original lead, and log insurance claim details. Revenue gets attributed back to the original lead source for reporting.

Job & claim tracking

  • Job status: in_progress → completed → paid
  • Insurance claim: submitted → pending → approved/declined/partial
  • Claim amounts: submitted vs. approved vs. paid
  • Pipeline revenue estimate — expected vs. realized

Territory Selection

When you sign up, you choose which ZIP prefixes you want to cover. These are your exclusive territories — no other RoofOps contractor can receive leads in those ZIPs while your subscription is active.

📍

Search by ZIP or City

Type your target city or ZIP prefix and see instantly whether it's available. Add multiple territories at once from the autocomplete results.

🛡️

Locked While Active
